The onboarding process is important for getting your virtual team member started efficiently with your business and making them feel welcome and valued!

Take time to introduce them to your business (and you!)

Introducing the new virtual assistant is often an excellent first step in breaking down those awkward barriers that can arise when people don’t know each other too well outside of work - maybe with video calls or even just over email chat!

Have everyone talk about their superpower

1

SET UP PERMISSIONS

Create a Business Email for Your Virtual Assistant

Add the virtual assistant to every channel or tool that they need to be part of (e.g. Salesforce, Slack, Canva)

Don't skip this step!  getting to know your business goals & culture is make or break

FAMILIARIZE YOUR VA WITH YOUR BUSINESS AND COMPANY CULTURE

EXPLAIN THE STEPS AND PROCESSES FOR EACH OF THE TASKS

There's a lot to take in when you're adding someone new into the mix. It can be difficult enough without having policies and procedures set out for them too! That being said, it is crucial that these people know what they should do next even if your VA has been working with you before... or maybe even especially because of all their experience already :)

Create the processes with tools that just make sense.  Here are two of our favorite tools to use when creating the SOPs:

  • Video; some people learn best visually so using a video tool like Loom... record the steps, processes you take to get a task done and share the video link with your virtual assistant.

  • Step by Step guides for each task with screenshots you can share.

You need to let your new virtual team member know what you expect!

You need to let the new virtual assistant know what they can expect from you, and what you expect from them as a team member.  Be clear in your communications and straightforward in your intentions.

SETTING CLEAR EXPECTATIONS

How do you communicate?  Provide Feedback?

Expectations around Deadlines.  What if a Deadline is missed?

Quality control and assurance...

What about personal time?  How should that be communicated?

Meetings and Checkins.  How is progress tracked and by whom?

"if you never tell your people what you expect, then expect to be disappointed "

How Performance is managed and accountability is viewed...

Key Responsibilities and what do you value most from the role...
